TERMS & CONDITIONS

1. General Policies

EC Hands4Health, Inc. (“ECH4H”) is committed to providing high-quality therapeutic services. All sessions are performed for the full duration booked. Clients are asked to arrive 5–10 minutes early to complete intake and begin on time.

To maintain a peaceful and professional environment:

  • No additional guests may accompany you, except a parent or guardian for minors.

  • Professional conduct is required at all times.

ECH4H reserves the right to refuse service to anyone who repeatedly violates policies, disrupts the schedule, or behaves inappropriately.

 

2. Booking & Payment

  • All appointments must be booked through the official online booking system or approved communication channels.

  • A valid payment method is required at the time of booking.

  • Full payment for sessions is collected upfront.

  • 30-minute sessions are available only as part of designated packages and are not sold individually.

  • Individual sessions must be used within 45 days of the original booking date.

  • Package sessions must be used within the timelines stated at purchase.

Unused sessions expire and are non-refundable.

 

3. Packages, Memberships & Transferability

Packages, memberships, promotional offers, and special partnership pricing (including but not limited to collaborative or corporate packages) are non-transferable and may only be used by the individual listed on the account.

This includes:

  • Session packages

  • Monthly memberships

  • Discounted or promotional offers

  • Partnership or collaboration packages

 

Individual sessions may be transferred to another person with advance notice to ECH4H. Transfer requests must be submitted prior to the scheduled appointment and are subject to approval.

 

ECH4H reserves the right to decline a transfer request if adequate notice is not provided or if the transfer would violate any existing policy.

4. Gift Cards

Gift cards are valid for one (1) year from the date of purchase unless otherwise stated.

  • Gift cards are non-refundable and may not be exchanged for cash.

  • No extensions will be granted beyond the expiration date.

  • Lost or stolen gift cards cannot be replaced.

 

Once redeemed, gift cards convert to service credit and are subject to all standard booking, cancellation, rescheduling, and expiration policies outlined in these Policies & Procedures.

 

5. Packages & Expiration

All packages must be used within the timeframe specified at the time of purchase.

  • Expired packages are void, even if unused sessions remain.

  • No extensions, rollovers, or revivals will be granted once a package expires.

  • Unused sessions remaining after expiration are forfeited.

  • Packages are non-refundable and non-transferable.

 

Clients are responsible for booking sessions in advance to ensure all services are used within the allotted time.

 

6. Reschedule Policy

ECH4H allows up to two (2) reschedules per appointment.

After two reschedules, the prepaid session remains on the client’s account; however, a rebooking fee is required to secure a new appointment time:

  • 30 minutes: $25

  • 60 minutes: $35

  • 75 minutes: $40

  • 90 minutes: $45

  • 120 minutes: $60

Reschedule requests must be made more than 24 hours in advance to avoid late cancellation penalties.

 

7. Cancellation Policy

ECH4H maintains a strict 24-hour cancellation policy.

Cancellations or reschedule requests made within 24 hours of the scheduled appointment:

  • Are considered late cancellations

  • Require the applicable rebooking fee to secure a new appointment

  • The prepaid session remains available for rebooking once the fee is paid

 

Cancellations or Reschedules Within 4 Hours

If a cancellation or reschedule request is made within 4 hours of the scheduled appointment start time, 50% of the service cost is required to secure a new appointment.

Example:
If a client has a 60-minute appointment scheduled for Monday at 11:00 AM:

  • Contacting ECH4H on Sunday at 3:00 PM requires a $35 rebooking fee.

  • Contacting ECH4H on Monday at 9:45 AM requires 50% of the service cost to book a new appointment.

 

If the applicable fee is not paid within 24 hours, the session is forfeited.

Cancellations are non-refundable for any reason.

 

8. Late Arrival Policy

There is no grace period. Sessions will end at the originally scheduled time to respect other clients.

  • Clients arriving 10 minutes or more after the scheduled start time, with no prior communication, are considered no-shows.

  • Clients who arrive late but within the 10-minute window will receive only the remaining time of their session.

  • Sessions will not be extended due to late arrival.

9. No-Show Policy

A client is considered a no-show if:

  • They do not arrive within 10 minutes of the scheduled start time, or

  • They fail to notify ECH4H prior to the appointment start time, or

  • They contact ECH4H after the appointment has already begun.

No-shows require 50% of the service cost to secure a new appointment.

If the fee is not paid within 24 hours, the session is forfeited.

Repeated no-shows may result in suspension of booking privileges.

ECH4H does not contact clients to confirm attendance.

10. Illness Policy

One (1) illness-related cancellation may be accommodated every six (6) months if communicated more than 24 hours in advance.

Additional illness-related cancellations require the applicable rebooking fee.

Illness does not exempt cancellations made within the 4-hour window; the 50% service cost policy still applies.

 

11. Fee Overview (Summary)

Rebooking Fees (after two reschedules or late cancellation outside 4 hours):

  • 30 min — $25

  • 60 min — $35

  • 75 min — $40

  • 90 min — $45

  • 120 min — $60

4-Hour Window or No-Show:

  • 50% of service cost required to secure a new appointment

Failure to pay applicable fees within 24 hours results in forfeiture of the session.

 

12. Chargebacks & Disputes

Filing a chargeback for any appointment or policy-related fee will result in:

  • Immediate forfeiture of the prepaid session

  • Immediate termination of the client–studio relationship

  • Permanent removal from future booking

  • Responsibility for all chargeback and administrative fees

 

ECH4H reserves the right to pursue unpaid balances through collections.

 

13. Communication Policy

All cancellations and reschedule requests must be submitted through the booking system or approved communication channels.

Clients are expected to maintain respectful, professional communication at all times.

 

14. Conduct & Safety

ECH4H may end a session immediately if a client exhibits inappropriate, sexual, aggressive, or intoxicated behavior. No refunds or reschedules will be issued.

 

15. Inclement Weather

If ECH4H must cancel due to severe weather, clients will be contacted to reschedule without penalty.

Client-initiated cancellations due to weather may still be subject to standard policies unless citywide travel conditions apply.

 

16. Privacy & Confidentiality

All client information, treatment notes, and communications are confidential and handled in accordance with professional and legal standards.

 

17. Minors

Clients under 18 must be accompanied by a parent or legal guardian who must provide written consent for treatment.
